1. Who We Are
DartsHQ Software Ltd ("DartsHQ", "we", "us", "our") is a company registered in England and Wales. We operate the DartsHQ application available at dartshq.com — an AI-powered darts coaching platform.
We are the data controller for personal data collected through our service.

2. What Data We Collect
When you use DartsHQ we collect the following personal data:
Account data: Your email address and username, collected when you register. These are required to provide the service.
Profile data: A display name or player alias you choose to use within the app. This does not have to be your real name.
Performance data: Dart throw data, session scores, game statistics, XP and progression data, and equipment details you enter into the app.
Psychometric data: Responses to our optional psychological assessment (based on the CSAI-2 framework), which we use to personalise your coaching experience. This includes your assigned coaching archetype and experience level.
Settings and preferences: Your in-app settings and coaching preferences. If you choose to enable the optional Audio Coach feature, your ElevenLabs API key is stored in encrypted form. We cannot access or read your API key.
Usage data: Event logs of how you interact with the app, used to improve the service. This data does not include personally identifiable information beyond your account identifier.
Payment data: If you subscribe to DartsHQ Pro, payment is processed by Stripe. We do not store your payment card details — these are handled entirely by Stripe.
3. How We Use Your Data
We use your data for the following purposes and on the following lawful bases under UK GDPR:

We do not use your data for advertising. We do not sell your data to third parties.
4. Third-Party Data Processors
We use the following third-party services to operate DartsHQ. Each acts as a data processor on our behalf:
Supabase — database and authentication infrastructure. Your account data, performance data, and settings are stored on Supabase servers. Privacy policy: supabase.com/privacy
Google (Gemini API)— AI coaching and analysis features. Performance data and session context is sent to Google's Gemini API to generate coaching responses. Privacy policy: policies.google.com/privacy
Stripe — subscription billing and payment processing. Privacy policy: stripe.com/gb/privacy
Brevo — transactional email delivery (password resets, account emails). Privacy policy: brevo.com/legal/privacypolicy
ElevenLabs — optional audio coaching feature. If you choose to enable Audio Coach and provide your own ElevenLabs API key, coaching text is sent to ElevenLabs to generate speech audio. This is entirely optional and only active if you configure it. Privacy policy: elevenlabs.io/privacy
Vercel — hosting of the DartsHQ web application frontend. Privacy policy: vercel.com/legal/privacy-policy
We require all third-party processors to handle your data securely and in accordance with UK GDPR.
5. Cookies
DartsHQ uses a single essential authentication cookie to keep you logged in during your session. This cookie is strictly necessary for the service to function and does not require your consent under UK PECR.
We do not use advertising cookies, tracking cookies, or any third-party analytics cookies.
6. Data Retention
We retain your personal data for as long as your account is active. If you delete your account or request erasure, we will delete your personal data within 30 days, except where we are required to retain certain records by law (for example, financial transaction records which we retain for 6 years in accordance with HMRC requirements).
You can delete all of your performance data at any time using the "Reset All Progress" function in the app settings.
7. Your Rights Under UK GDPR
As a UK resident you have the following rights regarding your personal data:
- Right of access — you can request a copy of the personal data we hold about you
- Right to rectification — you can ask us to correct inaccurate data
- Right to erasure— you can ask us to delete your personal data ("right to be forgotten")
- Right to restrict processing — you can ask us to limit how we use your data
- Right to data portability — you can request your data in a structured, machine-readable format
- Right to object — you can object to processing based on legitimate interests
- Rights related to automated decision-making — DartsHQ does not make any automated decisions that significantly affect you
- Right to withdraw consent — where processing is based on consent, you can withdraw it at any time

If you are not satisfied with our response, you have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk or by calling 0303 123 1113. Our ICO registration number is ZC135960.
8. Data Security
We take reasonable technical and organisational measures to protect your personal data, including encrypted data transmission (HTTPS), access controls, and secure infrastructure through our hosting and database providers.
In the event of a data breach that is likely to result in a risk to your rights and freedoms, we will notify the ICO within 72 hours and will inform affected users without undue delay.
9. International Data Transfers
Some of our third-party processors (including Google and Vercel) may process data outside the UK. Where this occurs, we ensure appropriate safeguards are in place, including Standard Contractual Clauses (SCCs) or adequacy decisions, in accordance with UK GDPR Chapter V.
10. Children
DartsHQ is not intended for users under the age of 18. We do not knowingly collect personal data from anyone under 18. If you believe we have inadvertently collected data from a minor, please contact us at hello@dartshq.com and we will delete it promptly.
11. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of significant changes by email or by displaying a notice within the app. The date at the top of this page shows when it was last updated.
